We are now seeking qualified administrative support to our office in the heart of Stockholm.
Overall job description
The Admin Assistant will be supporting a team of bankers including MD and juniors as well as working alongside the Office Manager to ensure a cohesive and collaborative team environment. The responsibility includes, but are not limited to:
- Extensive diary management including client meetings, dinners, internal and external calls, off-sites etc. This involves room bookings, conference calls, VC and circulating papers for regular calls locally as well as within Europe and the US
- General administrative duties such as greeting visitors, photocopying and filing, telephone answering
- Booking extensive international business travel, including flights, transfers and accommodation as well as arranging visas
- Expense submission and management through American Express/Concur
- Entering meeting reports into JefBase (Jefferies CRM) ensuring weekly deadlines are met
- Organisation of team functions
This role is suitable for a highly motivated and proactive individual who is capable of working on your own initiative. You are a strong team player and have proven ability to develop and maintain good working relationships. We believe you are a quick learner with the ability and willingness to learn about relevant policies, procedures and business. To succeed in this role you need to have a flexible approach to work and are good in multi-tasking. You need to have previous experience and knowledge of Outlook, Word, Excel and Power Point and pay strong attention to detail – accuracy with all work is essential. Professional language is English, fluency in Swedish is also required.
This position initially starts as a temporary solution where you will be contracted by Sense Talents during the first six months.
